How do I find out about space availability?
Please complete the Facility Rental Inquiry Form and a Rental Coordinator will be in touch with you regarding availability. Please allow at least two business days for a reply.
Is a deposit required?
- Yes, a refundable deposit is required to secure your date. For most events, this is $50. For events with more than 100 guests, the deposit increases to $200. Events that will include alcohol require a $500 deposit.
- As long as there are no damages or breaches of contract, your deposit will be refunded after your event.
How do I hold a room for an event?
Once you have received confirmation from a Rental Coordinator, payment is required to secure the room. For events less than 30 days out, full payment is required. For events 30 or more days out, we require the damage deposit. Payments may be made over the phone by contacting your Rental Coordinator.
What are the different rates offered?
501(c)(3) Non-Profit
A nonprofit organization that holds a current 501(c)(3) certification that has been verified with the City of Fort Collins Recreation Department. The non-profit rate is reserved for 501(c)(3) classified organizations, all other non-profit classifications qualify for the community rate. Organizations that qualify for this rate may charge admission fees to rentals at their discretion.
Verification/approval: Organizational IRS proof of Non-Profit status or 501(c)(3) determination letter must be submitted to be considered for approval. Non-profit organization status will be reviewed on an annual basis; each participating non-profit is required to resubmit their proof of non-profit status annually. Certificate must be valid at the time the rental contract is signed and the deposit is submitted.
Community Gathering / General Events
An individual, group, or organization that does not hold a 501(c)(3) certification, and the purpose of the rental is not to promote or engage in business activity or generate revenue. Non-profit organizations that hold a certification other than 501(c)(3) are eligible for the community rate and may charge admission for the rental as long as the verification/approval is completed as described above.
Examples may include: Baby Shower, Wedding, Birthday, Student Events, Social Activities, Staff Holiday Party, HOA Meeting
Commercial / Business Activity
An individual, group or organization that does not hold a non-profit certification and the purpose of the rental is to promote or engage in business activity or generate revenue.
Examples may include: Networking Luncheon, Seminar, Paid Class, Promotional Workshop, Vendor Fairs
May I bring my own alcohol?
The Fort Collins Senior Center, Northside Aztlan Community Center and Club Tico allow alcohol in accordance with the Alcohol Policy below. Alcohol is not allowed at any other recreation facility.
Alcohol and Beverage Service
Renters are allowed to bring alcohol into Recreation facilities provided the following stipulations are met:
A. The Renter has a rental that has been previously scheduled with City Staff with a minimum of 30 days advance notice.
B. Alcohol cannot be sold and must be provided free of charge to guests.
- For example, if a Renter is going to sell alcohol as part of a silent auction or as a raffle prize (where tickets are purchased for entry), the Renter, if eligible, will need to obtain a liquor special event permit. Alternatively, if the actual alcohol is not brought on premises (i.e., a photo of the alcohol or an empty bottle representing the alcohol) no special event permit would be needed.
- For larger events involving non-profit organizations wishing to sell alcohol at their event, a liquor special event permit may be applied for by contacting liquorlicensing@fortcollins.gov or calling 970-221-6315 with questions.
C. Alcohol can be served until 11 p.m.
D. Alcohol will only be allowed if it consists of (security staff will verify ABV levels of all alcohol before the event begins):
- Wine, or sparkling wine.
- Malt beverage, beer, or seltzer of up to 8% ABV (e.g., beer, seltzer).
E. Spirits, hard alcohol, and mixed drinks are not permitted.
F. Alcohol brought on site must be in original commercial container (i.e., wine bottle, beer can)
- Kegged beer is not permitted
- Glass bottled beer is not permitted
G. All alcohol must be stored and distributed from a centralized location for the duration of the event. This area must be supervised by at least one security guard and an individual 21 years or older designated by the renting party to ensure the following policies G1 and G2 are upheld.
- Individuals may receive a maximum of two alcoholic beverages at a time from the centralized alcohol distribution area.
- Any beverages that require serving in cups (e.g., wine) must be poured by a person 21 years or older that is designated by the event host.

J. The Renter has paid for a TULIP event insurance policy through the City of Fort Collins.
K. The Renter must pay for third-party licensed security personnel who are TIPS certified (or equivalent) at the required staffing levels listed below for each event. The security company will be paid by the renter, but will be scheduled through the City of Fort Collins contracted security provider.
- Security guard requirements: One (1) guard for events with 1-25 guests/attendees | Two (2) guards for events with 26-80 guests/attendees | Three (3) guards for events with 81-120 guests/attendees | Four (4) guards for events with 121-200 guests/attendees | Five (5) guards for events with 201-300 guests/attendees | Six (6) guards for events with 301-500 guests/attendees | Events with over 500 guests/attendees will be handled on a case-by-case basis.
- Security will be in the facility 30 minutes before alcohol service is scheduled to start.
- Security will stay in place until alcohol leaves the premises or the event ends, whichever time is later.
- Third-party security personnel will check identifications and require a wristband system (provided by the City of Fort Collins) to be in place that identifies legal age consumption versus underage individuals for events.
- If a person is seen in possession of an alcoholic beverage after the individual has been cut off from alcohol service and consumption, then the event will be shut down by either City of Fort Collins staff or the Security provider. If Renter disregards the direction of staff or security, local law enforcement may be contacted.
- All rentals must comply with all state, local, and county laws including, but not limited to, no service for people under the age of 21. Any law violations will result in the immediate termination of the event by City staff and/or security personnel and law enforcement will be contacted.
How may I decorate for my event?
You are encouraged to make your event your own! We ask that you adhere to our decoration policy, when planning and setting up your event.
Decoration Policy:
- Only blue interior painter’s tape may be used to hang decorations on painted walls. NO tape is to be applied to floors, including gym floors.
- For spaces with carpeted walls, objects may be attached with thumbtacks, t-pins or Velcro.
- Balloons may not be floated at the ceiling unless long strings are attached for easy removal.
- User must not attach anything to ceilings or block fire exits.
- Open flames are not permitted, however chaffing fuel used for warming chaffing dishes is allowed.
- Fog machines or pyrotechnics are not allowed inside City facilities, as they will set off fire alarms. If this policy is not adhered to and a fog machine or pyrotechnics are used, the Renter will incur an additional minimum charge of $200.
- The use of the following is not permitted and will result in a minimum cleanup charge of $100; Glitter, confetti, water troughs, coolers, rice, birdseed, and tape on flooring,
- Renter must remove all decorations and mounting materials at the end of the event or additional cleaning charges will be deducted from the Renter's security deposit.
Are facilities rentable after-hours and on major holidays?
Yes, after-hours, holiday and past-midnight rentals may be available, subject to staff availability and additional fees.
After-Hours Fee
In addition to the standard hourly rental charge, a $90/hour fee will be applied for time booked outside of regular facility hours of operation.
Major Holidays Fee
In addition to the standard hourly rental charge, a $100/hour fee will be applied for time booked on days when the facility is scheduled to be closed for a holiday.
Past Midnight Fee
In addition to the standard hourly rental charge, a $230/hour fee will be applied for time booked past midnight.
Am I able to cancel my event after booking?
It depends on the timing of your rental. Please see our Renter Cancellation Policy below.
- If Renter cancels the event more than 90 days prior to the event, Renter will be entitled to a refund of the security deposit and all fees paid.
- If Renter cancels 45-90 days prior to the event, Renter will be entitled to a refund of 50% of fees paid, but will forfeit the damage deposit.
- If Renter cancels less than 45 days prior to the event, Renter will not be entitled to a refund of any deposit or fees paid.
